Vantrans is a container transport operator based in Melbourne, Victoria. We handle personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and, where relevant, Victorian law including the Surveillance Devices Act 1999 (Vic). This policy explains what we collect, why, how we protect it, and your rights. We have written it in plain language and we mean it to be fair: we only collect what we need, we tell you what we are doing, and you can always ask us questions.

1. Who this policy covers

  • customers, shippers, consignees and their staff;
  • drivers, owner-drivers and subcontractors who work with us (including during onboarding);
  • our employees, so far as the Privacy Act and this policy apply to them (we apply this policy to employee information as a matter of good practice even where the employee-records exemption may apply);
  • job applicants;
  • visitors to our website; and
  • anyone else who deals with us.

2. What we collect and how

We collect personal information directly from you wherever possible — through our website, email, phone, forms, our driver app and our identity-verification partner. We may also receive information from customers who book jobs, from ports, terminals and container parks, from licensing and accreditation bodies, and from referees you nominate.

Customers and business contacts: name, company, role, email, phone, pickup and delivery addresses, container and consignment details, billing details and correspondence with us.

Drivers and subcontractors: name, date of birth, contact details, residential address, driver licence and class, permits and accreditations (for example MSIC, dangerous goods, forklift), vehicle and registration details, ABN and insurance details, bank details for payment, emergency contact, fatigue and compliance records, job and location data recorded through our driver app, and in-cab camera footage and vehicle telematics data from Paramount lease trucks (see section 4).

Website visitors: IP address, browser and device type, pages viewed, and anything you submit through a contact form. Our website uses only basic cookies needed for site function and simple analytics. You can deal with us anonymously or under a pseudonym for general enquiries; for transport services and driver engagement we need to know who you are.

3. Identity verification and biometric information (drivers)

Before a driver can be onboarded and use our driver app, we need to confirm they are who they say they are. This protects our customers’ cargo, meets our chain-of-responsibility and heavy vehicle safety obligations, and prevents identity fraud. We use a specialist third-party service, Sumsub (Sum and Substance Ltd), for this.

What happens. In the app you will be asked to photograph an identity document (such as your driver licence or passport) and take a short live selfie or video. Sumsub’s system compares the photo on your document with your face and checks that a live person is present. This collects:

  • images of your identity document and the details on it;
  • images of your face and a biometric template (a mathematical representation of your face) derived from them; and
  • device and technical data used to detect fraud.

This is sensitive information and needs your consent. Facial images and biometric templates are “sensitive information” under the Privacy Act. We only collect them:

  • with your express consent, given in the app before verification starts, after you have been shown what is collected and why;
  • for the single purpose of verifying your identity at onboarding (and, if a document expires, re-verifying it);
  • because we consider it reasonably necessary and proportionate — it is a one-off check, not ongoing monitoring, and we do not use facial recognition to track, watch or identify drivers at any other time.

Your choice. Consent is voluntary. If you do not want to complete a biometric check, tell us. We will offer an alternative — an in-person identity check at our depot against your original documents. You will not be treated less favourably for choosing the alternative; it may just take a little longer. You can also withdraw consent at any time by contacting us, and we will stop using the information (and arrange deletion) unless the law requires us to keep it.

What we do not do. We do not use your biometric information for any other purpose, do not share it with customers or other drivers, do not sell it, and do not use it to make decisions about your work performance.

Retention. Sumsub holds facial images and biometric templates only long enough to complete the verification and for a short retention period we have set for fraud investigation and audit, after which they are permanently deleted. We keep the verification result (pass/fail, date, document type) in your driver record for as long as you work with us and for the period required by law afterwards, but we do not keep the biometric template ourselves.

How your photos and licence details are protected. Your document images, selfie and licence details go straight from the app to Sumsub’s secure servers over an encrypted connection (256-bit TLS). Sumsub encrypts all personal data it stores. It holds the data in Tier 3 or higher data centres in the United Kingdom and European Union, and its security controls are independently audited against ISO/IEC 27001, 27017 and 27018, SOC 2 Type II and PCI DSS. Sumsub staff who handle personal data are background-checked and access is restricted and logged. Sumsub acts only on our instructions under a written data-processing agreement and cannot use your information for its own purposes. Vantrans staff see the verification result and the document details needed for your driver record; they do not download or store your biometric template.

4. Location and in-app data (drivers)

You only need the driver app while you are on a shift with Vantrans. You are not required to have it open, logged in or running at any other time. Many of our drivers also work for other operators or use their vehicles privately; what you do outside a Vantrans shift is none of our business and the app does not record it.

While you are logged in and on a Vantrans shift, the app records your location so we can dispatch jobs, give customers accurate ETAs, track container movements, meet fatigue and safety obligations, and resolve disputes. In Victoria, tracking a person’s location requires their consent under the Surveillance Devices Act 1999 (Vic), so:

  • we ask for your express consent when you first set up the app, and your phone will ask for location permission separately — you can set that permission to “only while using the app”;
  • location is recorded only from when you start a shift in the app until you end it — not when you are logged out, off duty, on a break you have marked, or working for someone else;
  • ending your shift or logging out stops all recording immediately, and there is no background tracking outside a shift;
  • location data is used for the operational purposes above and is never used to monitor you outside work;
  • access to location history is restricted to dispatch, operations and compliance staff who need it.

In-cab cameras and vehicle telematics (Paramount lease trucks). The trucks we lease from Paramount are fitted with a forward-facing road camera, a driver-facing cab camera and a telematics unit. These are fitted to the vehicle, not to you, and they operate whenever the vehicle is switched on. We use them for road safety, fatigue and distraction management, chain-of-responsibility compliance, incident investigation and insurance claims, and to protect you and other road users. Under the Surveillance Devices Act 1999 (Vic), recording inside the cab needs your consent, so we tell you about it here, in your driver agreement and by a notice in the cab, and we ask for your express written consent at onboarding before you drive a camera-fitted vehicle.

What is recorded.

Road camera: continuous video of the road ahead while the vehicle is operating.

Cab camera: video of the driver’s seat area. It records only while the vehicle is switched on. It does not record when the vehicle is parked for more than 30 minutes or off.

Telematics: vehicle location, speed, route, engine data and driving events (for example harsh braking, acceleration and cornering), and camera event flags. This is data about the vehicle, and is separate from the driver-app location data described above.

Who can view it. Footage and telematics data are stored by Navman on our account. Access is limited to our operations, compliance and safety managers and is used only for the purposes above. We will share footage with our insurer, lawyers, police or a regulator (such as the NHVR or WorkSafe Victoria) where needed to deal with an incident or claim, or where the law requires. We do not share footage with customers or other drivers and we do not publish it. If an event involves you, you can ask to see the footage.

How long we keep it. Continuous footage is overwritten automatically after 60 days. Event clips and any footage relating to an incident, complaint, insurance claim or investigation are kept until the matter is closed and for any period required by law, then deleted. Telematics data is kept for 60 days and then deleted or de-identified.

Your choice. If you have a concern about in-cab recording, talk to us before you accept a shift in a camera-fitted vehicle. The cameras are fitted for safety and chain-of-responsibility reasons and cannot be switched off, so consent to in-cab recording is a condition of driving a Paramount lease truck. If you drive one of our other vehicles, only the driver-app location data described above applies.

5. Automated decisions

From 10 December 2026 the Privacy Act requires us to tell you where a computer program makes, or substantially helps make, a decision that could significantly affect you. We are doing so now.

  • Identity verification: Sumsub’s system automatically compares your document with your selfie and returns a match/no-match result using the document images, facial images and biometric template described in section 3. A “no match” or “unable to verify” result is not final: it is reviewed by a Vantrans staff member, who will contact you and can arrange the in-person alternative in section 3. No driver is refused solely on the basis of the automated result.
  • Job allocation: our dispatch system may suggest job assignments based on driver location, licence class, accreditation and availability. Dispatch staff make the final allocation.

If you believe an automated result about you is wrong, contact us and a person will review it.

6. Why we collect personal information

  • to provide, schedule, track and invoice container transport services;
  • to onboard, verify, engage, roster and pay drivers and subcontractors;
  • to verify identity and prevent fraud;
  • to meet legal, safety, chain-of-responsibility, heavy vehicle, fatigue and workplace obligations;
  • to communicate about jobs, deliveries and our services;
  • to handle enquiries, complaints, incidents and insurance claims; and
  • to run and improve our business, systems and driver app.

We will only use or disclose your information for these purposes, for a related purpose you would reasonably expect, with your consent, or where the law requires or permits it. We do not send marketing to drivers, and we will only send marketing to business customers about our own services, with an easy way to opt out.

7. Who we share it with

  • our customers and their nominated consignees or depots, to the extent needed to complete a job (typically a driver’s name, vehicle and ETA);
  • ports, terminals, empty container parks and stevedores;
  • service providers who support our operations — our transport management and driver app platform, cloud hosting, email and messaging, accounting and payment providers — each of whom is bound to use the information only to provide services to us;
  • Sumsub, for identity and biometric verification (section 3);
  • our in-cab camera and telematics provider, and Paramount as lessor of our trucks (section 4);
  • insurers, auditors, lawyers and other professional advisers;
  • regulators, law enforcement and government agencies (for example the NHVR, WorkSafe Victoria, ATO, police) where required or authorised by law.

We do not sell personal information.

8. Overseas disclosure

Some providers store or process information outside Australia. Sumsub processes identity and biometric data in the United Kingdom and the European Union. Our cloud and software providers, including our in-cab camera and telematics provider, may hold data in Australia, the United States. Before disclosing information overseas, we take reasonable steps — including contractual obligations — to ensure the recipient handles it in a way consistent with the APPs, and we remain responsible for it under the Privacy Act.

9. How we protect it

We hold personal information in secure, access-controlled cloud systems and, where necessary, in physical records at our office. Our measures include: encryption in transit and at rest for driver records; role-based access so staff only see what their job requires; multi-factor authentication on core systems; logging of access to sensitive records; staff confidentiality obligations and privacy training; and contractual security obligations on service providers. We review these measures regularly.

Retention. We keep personal information only as long as needed for the purposes above or as required by law (for example seven years for tax and payment records, and the periods required for heavy vehicle, fatigue and workplace records), then securely destroy or de-identify it. Biometric data is handled as described in section 3.

10. Access, correction and your rights

You can ask us to:

  • tell you what personal information we hold about you and give you access to it;
  • correct information that is inaccurate, out of date or incomplete;
  • delete information we no longer need;
  • withdraw consent to biometric verification, location tracking or in-cab recording (sections 3 and 4); or
  • explain any decision described in section 5.

Contact our Privacy Officer (section 13). We will respond within 30 days, may need to confirm your identity first, and will not charge you for making a request. If we refuse a request we will explain why in writing and tell you how to complain.

11. Complaints

If you think we have mishandled your personal information, contact our Privacy Officer. We will acknowledge your complaint within 7 days, investigate, and aim to give you a written outcome within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC): www.oaic.gov.au or 1300 363 992.

12. Data breaches

If a data breach is likely to result in serious harm to you, we will notify you and the OAIC under the Notifiable Data Breaches scheme, and tell you what we are doing about it and what you can do.
